Job Description:
We are seeking a dynamic and organized Reception Assistant to join our team! As the first point of
contact for our company, you will play a crucial role in managing reception and performing
centralized administrative tasks.
Main Responsibilities:
• Physical and Telephone Reception: Welcome, guide, and inform visitors, clients, and
partners with professionalism and courtesy.
• Telephone Switchboard Management: Handle incoming calls and direct them to the
appropriate contacts.
• Mail Management: Receive, sort, distribute, and send mail and packages.
• Administrative Assistance: Perform various administrative tasks (filing, archiving,
document preparation) to support other departments.
• Meeting Room Organization: Manage reservations, ensure preparation and arrangement
of spaces for meetings and events.
• Supply Tracking and Management: Handle orders and stock of office supplies to ensure
smooth daily operations.
• Travel and Accommodation Booking for the Team: Coordinate business travel by
booking necessary tickets and accommodations.
• Reservation Account Management: Oversee and maintain reservation accounts to
ensure smooth and efficient organization.
• Provisioning Organization: Manage and order necessary supplies for the team.
Desired Profile:
• Experience: Initial experience in secretarial work.
• Interpersonal Skills: Excellent reception skills, ease in communication, and good
presentation.
• Organization: Ability to manage multiple tasks simultaneously, with diligence and
autonomy.
• Proficiency in Office Tools: Knowledge of basic software (Word, Excel, Outlook).
• Languages: Proficient in English
